Trackers
Connecting your trackers to Vehrano
Vehrano does not replace your tracking platform. It reads the latest position of each vehicle from it every few minutes and puts that where the compliance work happens: on the fleet map, on each vehicle's page, and into the mileage that drives service reminders and cost per mile. Tracking is part of the Enterprise edition.
What you get once a provider is linked
- A live map on the Home screen: every vehicle with a tracker, green when moving, grey when parked, red when a vehicle with an open dangerous defect is seen moving, pale when nothing has been heard for a while. Filter by depot, by state, or by plate.
- Each vehicle's location on its own page, with a trail of where it has been. We keep 30 days of trail; the latest position is always current.
- Automatic mileage. When the tracker reports an odometer reading, the vehicle's mileage moves up with it, never down. Mileage-based services, cost per mile and the walkaround readings stop depending on anyone typing numbers.
- Unsafe-vehicle alerts. If a driver has reported a dangerous defect and the vehicle is then seen moving, the office is emailed once that day.
Units match themselves to vehicles when the unit is named after the registration or carries the plate; anything else takes one click in Settings. Positions are visible to every login in your business, and a login limited to one depot sees only that depot's vehicles.
Link what you already pay for
Everything below happens in the app under Settings → Tracking. Choose the provider, enter the details, press Link and test. Nothing is saved unless the test succeeds, and the details are stored encrypted.
Traccar
The open-source tracking server that most white-label trackers report to. If a reseller set up your trackers and gave you a web address with a map, it is very often Traccar.
- In Traccar, create a user for Vehrano (or use an existing one) that can see the devices. A read-only user is enough.
- Name each device after the vehicle's registration (for example
AB12 CDE) so it matches itself.
- In Vehrano, choose Traccar, enter the server address exactly as you open it in a browser (for example
https://track.yourcompany.co.uk), the username and the password, then Link and test.
The address must be reachable from the internet over https://. A server that only exists on your office network, or one with a self-signed certificate, cannot be linked; ask whoever runs it to put it behind a proper certificate first.
Samsara
- In the Samsara dashboard open Settings → API Tokens and create a token with read access to vehicles and vehicle locations. Give it a name you will recognise, such as Vehrano.
- In Vehrano, choose Samsara, paste the token, then Link and test.
Samsara accounts differ in how vehicles are named and which fields are filled in. If the test succeeds but a vehicle does not match or the mileage looks wrong, email
support@vehrano.co.uk with the vehicle in question and we will adjust the reader with you.
Geotab (MyGeotab)
- In MyGeotab, add a user for Vehrano with view-only access to the vehicles. Note your database name (shown on the sign-in screen and under your profile).
- In Vehrano, choose Geotab, enter the database name, the username and password, and the server if yours is not
my.geotab.com, then Link and test.
We read positions and ignition from Geotab. Odometer readings are not yet taken from Geotab, so mileage continues to come from fuel fills, completed jobs and walkaround checks.
Push from any system
For a platform we do not read directly, or for your own software. Vehrano gives you a key; your system sends positions to us.
- In Vehrano, choose Push from your own system and press Link. The key is shown once; copy it somewhere safe. You can issue a new one at any time, which retires the old one.
- Send positions to
POST https://app.vehrano.co.uk/telematics/push with the header X-Vehrano-Key: <your key> and a JSON body like this:
{"positions": [
{"registration": "AB12 CDE", "lat": 50.88, "lon": -1.03, "at": "2026-10-17T14:30:00Z",
"speed_mph": 28, "heading": 182, "ignition": true, "odometer_mi": 61250, "address": "A3, Horndean"}
]}
Up to 500 positions per push and 600 pushes an hour. speed_kph and odometer_km are accepted and converted. A position for a registration that is not on your fleet is counted and reported back, not stored. Most tracking platforms can call a web address like this from a webhook or a scheduled export; if yours cannot, a few lines of script on any computer will do it, and we can help write them.
Quartix, Webfleet, Trakm8, or something else?
Tell us which platform you use. Most have an interface we can read from, and we add providers in the order people ask for them. Until then the push option above works with anything that can run a webhook or a small script, and we will set it up with you.
Or let us supply the trackers
If you have no trackers yet, we can supply units and SIMs that report straight into Vehrano, so there is no separate tracking platform to pay for or sign in to.
How it works
- Tell us how many vehicles, what kind (van, HGV, car, plant) and whether you want plug-in units or hard-wired ones.
- We quote per unit, plus a monthly amount per unit for the SIM and the tracking service, on top of your Enterprise subscription.
- Units arrive configured and labelled with the registration they belong to. Plug-in units fit in minutes; hard-wired units are fitted by your garage or a mobile installer.
- We link your Vehrano account to the units. The vehicles appear on the map the first time each unit reports.
Good to know
- Units stay yours. If you ever leave Vehrano, they are standard trackers that can report to any Traccar server.
- We do not sell tracking as a surveillance product. The data is there for compliance, mileage and knowing where the fleet is; drivers should be told that vehicles are tracked, and your privacy obligations to them are yours. Our privacy policy sets out what we hold and for how long.
- Positions are kept for 30 days as a trail; the latest position is kept while the vehicle is on your fleet.
Ask about tracker packages
Already a customer? Sign in, open Settings and look for Tracking. Not on Enterprise yet? Email sales@vehrano.co.uk and we move you across the same day; nothing is lost moving between editions.
